JOB PURPOSE

Due to a short period of absence, we are urgently seeking an experienced EA / PA to support the CEO for at least 2 to 3 weeks. 
This role provides efficient and proactive wraparound support to the CEO. You will be responsible for diary co-ordination, meeting support, including agendas and minutes, liaising with multiple internal and external stakeholders using judgment and authority. You will provide support to the Board of Trustees and be their key point of contact. This is an extremely busy and varied role at a time of significant growth and development within our air ambulance charity.
MAIN RESPONSIBILITIES
• To provide high-level support to the CEO in a professional, timely manner whilst maintaining confidentiality and discretion where appropriate.
• Act as the first point of contact for the CEO, to ensure that telephone calls, visitors, emails, meeting requests and post are appropriately managed.
• Deal with/filter queries and problems from staff, external contacts and the public, ensuring resolution in a timely and professional manner.
• Diary management, including arranging internal and external meetings including all logistics.
• To schedule and coordinate a range of regular meetings, including Board and Sub-Committee meetings, supporting the CEO, Chair of the Board and Trustees.
• Ensure that Board meetings and Sub-Committee meetings content are prepared and distributed in a timely manner and to a high standard, following CEO’s direction.
• Drafting and checking agendas, collating and circulating papers, keeping minutes, pursuing agreed actions.
• Produce documents, reports and presentations within tight deadlines.
• Establish and maintain effective working relationships with Trustees, external contacts, staff, crew and volunteers.
• Develop and manage appropriate administrative systems to improve efficiencies.
• Organise cross-department meetings, away-days and events, overseeing travel, IT and knowledge management.
• Work with the Leadership Team and colleagues across the charity to ensure that departmental support needs are being met;

ADDITIONAL RESPONSIBILITIES:
Work as a flexible team member by sharing knowledge and advice when required, covering for holidays and carrying out any other duties, including project work, which may reasonably be requested of the role.
Experienced and Attributes Required:
• High level of education, particularly in English and Maths
• Experience of working with senior management/Directors and establishing good
• Working relationships at all levels.
• High-level organisation and time management skills and the ability to pragmatically assess and manage priorities.
• Able to work to tight deadlines and under pressure.
• Work with minimum supervisor
• Confident communicator to present credibly and professional at all levels.
• Able to learn quickly and adapt to various situations.
• Ultimate discretion and confidentiality
• Meticulous attention to detail.
