Staff Scheduler

My Client based in Barnet is looking for a Staff Scheduler to join their team. The Candidate is expected to perform a variety of duties in the coordination of scheduling services for clients, assisting and supporting other staff members in order to provide the highest quality service to clients.

Primary
• Coordinate schedules on a daily basis
• Coordinate and maintain monthly and recurring client schedules in People Planner (PP)
• Matching Clients and Caregivers creating trusting and compatible relationships
• Ensuring all Caregivers and Clients are aware of working schedules.
• Be responsive to changes in the schedule and liaising with relevant team members.
• Re-assigning sickness and holiday cover.
• Enter and maintain accurate client and notes in PP
• Ensure the following information is entered into PP: shift refusals, reports of late arrival or early departure, reports of client dissatisfaction with a . Ensure this information is passed on to the Quality Assurance Officer in weekly meetings.
• Responsible for holiday and sickness record keeping (both paperwork and entry into PP) and approval of holidays after liaising with the Care Manager where necessary.
• Become familiar with all aspects of scheduling with PP and develop a good understanding of the program reporting functions so that up to date and relevant information can be provide to the Care Manager when requested.
• Maintain accurate information on the client whiteboard (new/leaving clients)
• Add /remove client on the company Googlemap
• Liaise with recruitment and training officers in discussions about placement if and planning numbers of needed
• Identify and report to Care Manager, areas of recruitment need
• Provide up to date hand-over information for out of hours cover
• Manage and train backup where appropriate
• Work closely with the recruitment officer, the training officer and the quality assurance officer to ensure satisfactory and efficient use of CAREGivers
• Participate in out of hours “on call” weekday rota
• Answer incoming calls in a friendly, professional and knowledgeable manner

Secondary
• Assist in telephone duties and answer each client or employment enquiry in a friendly, professional and knowledgeable manner taking messages where appropriate and ensuring the correct member of staff is informed.
• Participate in quarterly meetings when requested
• Reconcile shifts on the in PP
• Enter client medical condition into PP and onto appropriate spreadsheet
• Monitoring and follow up of IQ Timecard logging in and logging out, ensuring that failed or late logins and logouts are investigated and necessary corrections are entered into PP
