Hotel Receptionist, South Ockenden area, up to £21,000pa

At Select Hospitality Chelmsford we are currently recruiting on behalf of our client for a receptionist at their 4 star hotel.

The Role
We are currently looking for an experienced full time hotel reception ssupervisor to join our client’s front of house team. The role of receptionist supervisor will involve running the reception desk and being the face of the hotel as first point of contact when guests arrive to the hotel. The right candidate will be responsible to ensure a smooth running of the Reception department and development of department procedures. The Reception Supervisor should lead the team by example in delivering an exceptional and professional standard of customer service in line with the Hotel’s guidelines and service standards.

Supervisory Duties
 To oversee and support the team on a day to day basis, ensuring that tasks are completed in an efficient and timely manner
 To maintain a neat, organised and functional work environment
 To assist with the training and personal development of all staff within the department
 To anticipate and ensure that all guest requests/needs are met
 To undertake Duty Manager shifts as required
 To motivate and encourage the team
 To report on staff performance to the Revenue Manager
 Plans and creates the Reception Department’s rota in line with business needs
 To handle any complaints and issues in an efficient and professional manner
 To ensure effective communication within the Reception Department and all departments in the hotel
 To demonstrate a high standard of personal presentation

Reception Duties
 Provides high level of customer service to our guests at the Reception Desk.
 Welcome guests to the hotel.
 Checking-in and Checking Out the guests.
 Responsible to count the safe and float, dealing with cash, cheque and credit transactions, and to ensure that any discrepancies are reported immediately.
 Responsible to action wake-up calls.
 Printing Housekeeping Reports.
 Processing and printing guest bills and ensuring all charges are correctly posted to the guests bills following the standard procedures.
 Responsible to communicate with Housekeeping via radio frequently regards to departures, extra arrivals, stay changes or any other requests & changes which has an impact on Housekeeping department.
 Responsible to prepare daily reports.
 Ensure all arrivals are allocated for the next 3 days minimum.
 Handling bookings for Restaurant for Afternoon Teas, Lunches and Dinners.
 Ensure all task are completed by end of the shift based on the checklists for each shift.
 Ensure correct rooms are allocated to the correct guests.
 Minimise potential revenue losses by following all the established credit procedures.
 Ensure all the guests provide debit or credit card at the time of check-in to ensure smooth payment process.
 Follow the guests billing instructions to ensure correct payment procedure.
 Keep effective key control for the hotel rooms.
 Ensure all guest mail and messages are delivered promptly.
 Notify Housekeeping regarding lost and found items and ensure they are logged and managed correctly in the system.
 To carry out all Reception duties outlined in shift checklist.

GENERAL RESPONSIBILITIES & AUTHORITY
 Whenever possible anticipate guest needs, to be aware of all written and spoken requests, and carry out these requests in courteous and helpful manner.
 Stay current with any development’s in the Hotel.
 Demonstrate good team work practises by co-operating and assisting colleagues as and when needed.
 Be aware of what is happening at the hotel to ensure guests are informed accordingly and rooms are allocated based on the guest needs.
 Communicate clearly and efficiently with all other departments regards to guest bookings, requirements and needs to ensure seamless customer service process.
 Anticipate possible and probable hazards and conditions, and notify Revenue Manager.
 Maintain own working area and materials clean, tidy and in good shape; report defective materials and equipment to Revenue Manager.
 To arrive on time for your shift and ensure your appearance follows the hotel’s set standards.

GUEST RELATIONS
 Greet clients and guests in accordance to the Hotel Standards, representing the Hotel.
 Ensure that all requests and complaints are dealt with and resolved quickly and efficiently.
 To promote Hotel events, sales and revenue opportunities to all clients at every opportunity.

This role will include shift work 5 days out of 70, 6:45-15:15 or 14:30-23:00 as a standard, but middle shifts might be required dependent on business levels. The ability to be flexible – able to work weekends, late evenings, early mornings and Bank Holidays.

Salary and Benefits
• My client is offering the successful candidate a salary of up to £21,000pa
• Basic 40hr working week 5 days out of 7 on shifts
