Our client a unique and established organisation based in Romford is looking to recruit a strong communicator with the ability to multi-task and possess excellent organisational skills. This role would suit an entrepreneur with the ability to think on their feet with strong customer service and problem solving skills. If you have experience within Freight Forwarding or Logistics or a strong interest in this area then this would be a distinct advantage.

Duties for the Project Co-ordinator role:-

To assist the Projects Manager and other Project Co-ordinator in the day-to-day management, administration and planning and execution of worldwide Bulk & Bagging operations;

 Liaise with the Commercial Department regarding potential forthcoming business.

 In conjunction with the Projects Manager and team, plan suitable personnel / equipment for forthcoming projects. This to include monitoring the arrival of the cargo, equipment and any outstanding spares orders and to liaise with the agent at the disport and ensure readiness for the arrival. Also ensure any outstanding work to the equipment is planned in either before (if critical) or afterwards, balancing the costs.

 Prepare operational briefings for forthcoming projects basis the contract in place ensure the team have all information to ensure the project operates smoothly (e.g receivers contact details, stow plan, agent details etc etc.)

 Arranging flights for the field personnel within the budget criteria set and timely manner to ensure operations are not interrupted. This involves arranging cheapest alternatives as well as reliable connections subject to circumstances of each project.

 If a travel agent is used for booking flights ensuring that the most competitive quote is achieved by comparing quotes by other means such as internet or other quotes obtained.

 Arranging appropriate visas for the field personnel in a timely manner in order not to interrupt operations.

 In conjunction with the Projects Team keep field personnel fully informed of upcoming projects.

 Speak to the relevant field personnel on a daily basis (or more frequently if required) to discuss progress / tonnages and assist recommendations to speed up / improve productivity if necessary. Ensure that team are following the instructions as set out in the ops brief e.g. bag weight checks, comparison of figures.

 Provide full support to the ops team re contractual responsibilities. Liaising and supporting the team with messages to the agent and or receiver to ensure all other parties are aware of their contractual responsibilities.

 Report to clients regarding daily productivity and delays in accordance with contractual requirements and keep them updated on any deficiencies not under the direct control or responsibility of NGL

 Ensure all parties internally are made aware of any problems that may result in a claim on completion of the discharge

 Ensure that any requirement for commissioning of new equipment are covered by planning in suitable candidate for task

 Ensure any incident or accident reported is formally notified to the office on the relevant accident and incident report form

 Update tonnages and delays into the CRM system and also keep all necessary records and correspondence up to date in the projects file for easy reference

 Obtaining costs for unit movements together with transit times

 Arranging documentation for import / export and liaising with freight forwarders and agents at import and export locations

 Monitoring shipment process from start to completion and advising interested parties of any change to schedule

 Keeping all relevant records as required relating to movement of equipment and import /export

 Maintaining and updating of full details of the personnel, including contact numbers and next of kin

 Copies of documents such as passport, adequate number of photographs
Vaccinations, updated medical records

 Keeping records of days worked for the field personnel and providing this information on a timely basis to accounts for payment of salaries for the field personnel

 Attend to filing duties as required in terms of operational records.

 Assistance with projects related data entry requirements as and when required, for example updating laytime shift performance, CRM project number creation and information and finalisation of project details e.g. completion notes

 Assistance to the project Manager in preparing end of month management reports

Requirements for the Project Co-ordinator role;-

• As a minimum, applicants must have at least GCSE (‘O’ level) standard including minimum grade C in Mathematics and English Language
• Be willing to attend relevant training courses and to develop skills and knowledge

• Strong and concise communication skills, both written and verbal
• Good grammatical and numerical skills
• Strong analytical approach to cost management
• Fully competent with IT including Microsoft Office applications (Word / Excel / Power point / Outlook). Experience of CRM systems preferred but not essential

• Preferred but not essential, previous experience of providing support within an operational environment, ideally within a ports or logistics. Candidates with suitable related experience who are wishing to develop may be considered

• Organised and accurate with good attention to details
• Self-motivated and able to work to strict deadlines in a fast paced, customer focused environment
• A pro-active problem solver
• Effective personal time management skills and the ability to prioritise tasks
• Good interpersonal skills and a genuine team player
• Willingness to travel nationally and internationally as the role requires
• Willingness to work out of hours occasionally
