Office Coordinator

Our client is an awarded family business on the food industry that is now looking for an Office Coordinator.

The post holder will have overall responsibility and accountability for the full office, ensuring that all equipment is maintained, relevant records are up to date and that all administration processes and departments work effectively together to support the business as a whole.

You will also be responsible to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety companywide.

This role will give you the chance to make it your own. The office will be yours to manage – with help and guidance.
Duties and Responsibilities:
• Provide a professional and responsive front of house service
• Room preparation and ensuring refreshments and lunches are provided where required
• Responsibility for company travel and accommodation bookings
• To oversee and control all deliveries, post, collections and couriers
• Responsibility for overseeing the layout, general cleanliness and tidiness of the office – you will manage the office cleaner
• The control of all office equipment which includes liaising with IT support and third party suppliers
• To effectively manage the company calendar, including scheduling management meetings and appointments
• To create and manage company contact databases
• Control of the archiving remit including organisation, storage and confidential destruction where required ensuring that data protection laws are being adhered to
• To oversee and ensure that GDPR compliance is being met across site with regards to all personal data in all programs used and electronic/paper files
• Event management – this includes staff parties and functions, social events, off-site parties, exhibitions and conferences
• Responsible for the complete on boarding and off boarding processes
• General administrative support
• PA duties to the Directors and Senior Managers
• To be the office fire marshal, organise emergency evacuations when necessary and keep staff up-to-date with current emergency evacuation policies and regulations
