Office Administrator (Part Time)

Select in Lincoln is working with a local client in need of a part time Office Administrator.

Job Purpose:

Carry out general office duties in support of customer sales and service. Collate and maintain customer files and quality procedures with the production of typed quotes, letters, invoices and purchase orders. Liaise with customers and suppliers in a timely and professional manner.

Key Responsibilities:

Initiate invoices, purchase orders payments inwards as required, utilising ‘XERO Accounts package’
Maintain and update financial reports using spreadsheets and ‘XERO’ account package to monitor, update and pursue aged debtors.
Maintain VAT spreadsheets
Manage, organise, and update relevant data using database applications.
Communicate and provide information by relevant methods internally and externally to assist customers and enable effective customer service operations.
Communicate and provide information by relevant methods internally and externally to assist in monitoring of suppliers.
Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.
Adhere to stated policies and procedures relating to health and safety, and quality management; as specified in the ISO 9001 and EMS 14001 manual procedures.
Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, laminator, calculator, shredding machine and photocopy machine.
Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.
Maintain confidentially between customers, suppliers and any external personal at all times.
Pursue personal development of skills and knowledge necessary for the effective performance in the role.

Person Specification:

Ideally an experienced office administrator with some knowledge of the building services.
Liaise with sales field force and develop a good strong working relationship.
A good understanding of MS Office and Xero accounting package a must!
Full training will be given in all aspects of the role.
Lone working at the office to be considered.

We require initially a part time person for a minimum of 2 days a week with cover on a Friday specifically, and will lead to more days as the role progresses.

This role is to cover our existing full-time administrator who is preparing to retire and is looking to work 4 days a week asap.
