Lodge Receptionist – £21,400 20 hours per week

JOB PURPOSE

At Select Hospitality Oxford, we are currently recruiting for 2 part-time Lodge receptionists for a prestigious Oxford College. The role will entail operating the security and front of house services of the College so as to provide a safe, secure and hospitable environment for members of the College and visitors including conference attendees.

THE ROLE

Delivering high quality customer service in both a face-to-face role, via written communication and over the telephone, demonstrating a strong knowledge of the business. The role involves contact with people at all levels of the College, and the ideal candidate will be polite and tactful at all times.

To provide a consistent high level of customer services through systematic proactive provision of Front of House Services in line with the following responsibilities:

• Provide accurate information and appropriate assistance to members of the College and to Conference delegates and visitors.
• Check in guests and receive/process cash or card payments.
• Assisting with all reception administration including answering phones, inputting B+B bookings, processing incoming and outgoing mail, dealing with enquiries.
• Issue keys to College rooms and to members, visitors, contractors etc and keep accurate records of key issue. Taking necessary corrective action upon loss of key.
• Managing the access to the College in line with College security policies, changing and adding access by request with business requirements. Monitoring and reporting any security issues through CCTV and alarm records.
• Monitor and test the College fire alarm system and liaise with emergency services as and when needed.
• Preparing reports on meetings for colleagues and the maintenance teams. Communicating any special requirements to appropriate departments.
• Perform any other duties as required by the Buildings Manager.

Skills:

• Previous experience working in a hospitality receptionist role is desirable, e.g; hotel or B+B
• A good standard of personal presentation
• Experience of basic clerical duties and office procedures
• Basic IT skills e.g. Word/Excel
• Experience of using booking systems. Full training will be given on bespoke booking system in the college, but a working knowledge of other booking systems is essential
• Ability to work within a team, and a willingness to support and assist colleagues when required
• Effective problem solving
• Excellent attention to detail and a passion for providing excellent customer service
• Ability to follow policies, procedures, and instructions
• Ability to build effective customer relationships in order to provide excellent customer service
• Strong verbal and written communication skills

Further details:

• £21,060 per year pro-rata for 20 hours per week
• 5 days out of 7 including weekends, fixed shift start/finish time of either early or late shift
