Select Appointments Lewisham is urgently seeking an Administrative Officer to work with our client in the Public Sector. You will be a member of an administrative team responsible to for the provision of administrative support to a group of staff as allocated. You may be required to work in any allocated area of administrative support within the division. The post holder will be expected to undertake a significant level of technical/professional functions.

Other Duties Include:

Deal with requests for service (including complaints), advice and information from members of the public, local businesses, other Council
Directorates or external bodies on matters relating to the work of the group.
Initiating action where necessary such as referring the caller to an Environmental Health Team Manager or Officer. In accordance with management guidelines to manage appointments for relevant staff.
Undertaking administrative procedures relating to the activities of the allocated section in accordance with policies and procedures.
Participating in the design of new procedures or improvement of existing procedures as required.
To undertake administrative duties in relation to general support undertaking functions carried out by the service including responding to
service requests, the service of notices, the processing and issue of licences, processing premises/persons registration requirements, taking payments and producing invoices whilst maintaining appropriate and up to date with correspondence, prepare documents as required and carry out customer satisfaction surveys, issuing leaflets, standards letters, etc. as necessary.
Undertaking administrative assignments or projects as may be required from time to time, involving acting as lead officer, supervising allocated staff,
Undertaking research, preparing draft reports and making recommendations.
Updating, creating and interrogating records in various IT systems, including those externally hosted, to produce information for officers.
To assist in the preparation of management information, reports and statistics as required by the Administrative Team Manager. In particular to be responsible for the preparation of all records relating to assigned work on particular functions providing information as required to the Team and Section Managers on work carried out.
In accordance with council’s financial regulations, standing orders and corporate requirements to process orders, calculate charges, raise
invoices, and process income received.
Investigating queries from contractors and clients regarding outstanding invoices and charges utilising the Councils financial systems, liaising with other Council departments and Project managers, arranging for recharges to clients,
Maintaining detailed records of costs and dealing with all external invoices and credit notes.
Arrange and attend meetings, working parties etc., relevant to the work of the allocated section or team.
Prepare agenda, complete and circulate minutes, and progress follow-up action where directed.
To assist in the maintenance and updating of technical resources and provision of adequate supplies of publications and leaflets for the group.
To assist the Admin Team Manager or Senior Administrative Officer in reviewing working methods and practices in use within the team to ensure
continued effectiveness and efficiency.
To carry out land charge searches for members of the public as requested on a rota basis and to check whether or not there are any outstanding notices, amounts owed, etc.
Use and operate computerised systems, reprographic and telecommunication/data transmission equipment as required, including a
range of computerised data entry/revision/retrieval operations such as electronic mail, databases, shared drives and word processing. Participate
in the evaluation of new software packages or facilities, and in the training of Administrative, Technical or Professional staff in their use.
Participate in the training and development of staff as directed by the Administration Team Manager.
Undertake any other work appropriate to the level and general nature of the post’s duties.
To carry out all duties with due regard to the provisions of health and safety regulations and legislation, the Council’s equal opportunities and
